Privacy Statement
I, Sandy Robson, am a sole trader operating under the trade name Scribery & Redaction. Based in the United Kingdom, I provide writing, editing and proofreading services to clients across Europe.
This Privacy Statement explains what information I require to deliver these services, and how I will use it and safeguard it in compliance with the EU General Data Protection Regulation which came into force on 25 May 2018.
Privacy Principles
I will collect only such data as is necessary to deliver my services whilst complying with all applicable laws. No more, no less.
I will not share this information with third parties, except under obligation to legal authorities.
I will endeavour to keep all information accurate and updated, and only for the duration set out under legal statute, normally six years.
On written request, I will provide any client with a copy of the information I hold about them.
Storage
All data will be stored on my password-protected systems (e.g. email account, external hard drive) accessible from my desktop computer and smartphone. No third parties have access to these systems.
Required data
When first contacted by a prospective client to discuss an assignment or project, I will ask for the name of the contact and any applicable business name. I will require an email address and telephone number for speedy communication.
UK tax laws also require me to send invoices marked with a postal billing address, even though I normally send them by email. The billing address is not necessary at enquiry stage but will be required before I begin work on the assignment.
Project information
Files entrusted to me as part of an assignment are retained securely alongside the relevant client’s information, as this ready-reference to past work helps me to provide repeat or continuous services to that client. Nevertheless, such files are not subject to GDPR requirements, and can be deleted on request at the end of the assignment or at any time thereafter.
Use of data for non-project purposes
Testimonials: everyone loves a happy client, and I am no different! Any client who consents to offer a testimonial for posting on my website retains the right to set limitations on its use (e.g. a duration).
Update of records: to ensure ongoing accuracy of data, I will contact all clients annually to request verification of the information I hold. I will make necessary amendments and confirm the adjustment promptly.
Marketing: I may from time to time circulate electronic mailshots for marketing purposes or to notify current/recent clients of forthcoming leave or other period of unavailability. Clients may unsubscribe from this type of notification at any time.
Timeframes
Her Majesty’s Revenue and Customs (HMRC) requires businesses to retain trade records for six tax years. I will permanently delete all records exceeding six years.
